Cancellation & Refund Policy
Introduction
Effective Date: August 23, 2026
We understand that plans change. This policy is intended to be clear and fair while recognizing that time is specifically reserved and preparation may begin before a scheduled service.
The terms provided in a signed counseling consent, coaching agreement, consulting agreement, speaking contract, event registration, or other service-specific agreement will control if they differ from this general policy.
1. Counseling Appointments
Counseling appointments canceled or rescheduled at least 24 hours before the scheduled appointment will not incur a late-cancellation fee.
Appointments canceled with less than 24 hours’ notice, as well as missed appointments, may be charged up to the full session fee, except where prohibited by law, contract, insurance requirements, or applicable professional standards.
Late-cancellation and missed-appointment fees are generally not billable to insurance and may be the client’s responsibility.
We recognize that emergencies, illness, disability-related circumstances, unsafe conditions, and unexpected caregiving needs occur. Figurin’ It Out Counseling & Consulting may waive or modify a fee when reasonably appropriate based on the circumstances.
Payment for a counseling session that Figurin’ It Out Counseling & Consulting cancels will be refunded or credited in full.
Counseling policies—including fees, insurance, cancellations, telehealth, confidentiality, and termination—may also be addressed in separate informed-consent and financial-responsibility documents.
2. Individual Coaching or Consulting Sessions
A coaching or consulting session may be canceled or rescheduled without charge when at least 24 hours’ notice is provided.
Sessions canceled with less than 24 hours’ notice, or missed without notice, may be charged up to the full session fee.
If Figurin’ It Out Counseling & Consulting cancels a session, the client may choose to reschedule or receive a full refund of the amount paid for that session.
3. Coaching or Consulting Packages
A request to cancel a prepaid package must be submitted in writing to ali@fiocc.com.
If no services have been provided and no substantial customized work has begun, the purchaser may request a refund within seven calendar days of purchase.
Once services or customized preparation have begun, any approved refund will be calculated based on:
The package amount paid
The regular, non-discounted price of services already provided
Any clearly disclosed, nonrecoverable third-party expenses incurred for the client
Any nonrefundable deposit expressly identified and accepted before purchase
Any remaining refundable balance will be returned to the original payment method.
Package discounts are based on completion of the package. Therefore, services already used may be recalculated at their regular individual rate when determining the remaining refund.
Unless a written agreement states otherwise, prepaid packages expire 12 months after purchase. We encourage clients to contact us before expiration if health, disability, family circumstances, deployment, or another significant hardship affects their ability to use the package. Reasonable extensions may be considered.
4. Consulting Projects and Custom Work
Consulting projects may require a deposit before work begins.
The amount and refundability of that deposit will be stated in the applicable proposal or agreement.
Unless otherwise stated in writing:
A client may cancel before work begins and receive a refund of amounts paid,
excluding any expressly identified nonrefundable deposit or nonrecoverable third-party expense.
After work begins, the client is responsible for services performed, time reasonably reserved,
approved expenses, and completed deliverables through the cancellation date.
Any remaining unearned balance will be refunded.
Completed work and delivered materials are not refundable merely because
the client changes direction or decides not to use them.
If Figurin’ It Out Counseling & Consulting cannot complete the agreed work, the client will receive a refund for the portion not performed, unless the parties agree to a substitute service, revised scope, or credit.
5. Speaking Engagements, Workshops, and Private Events
Cancellation, postponement, travel, preparation, and refund terms for speaking engagements, team workshops, organizational programs, and private events will be stated in the applicable contract.
Unless that agreement provides otherwise:
More than 30 days before the engagement: payments are refundable,
excluding an expressly disclosed deposit and nonrecoverable expenses.
Between 14 and 30 days before the engagement: 50% of the agreed service fee may be retained.
Fewer than 14 days before the engagement: the service fee is
nonrefundable because the date and preparation time have been reserved.
Approved travel, venue, production, material, or third-party
costs already incurred remain the client’s responsibility.
When possible, payments retained after a cancellation may be applied to one
rescheduled date occurring within 12 months, subject to availability and any additional expenses.
If Figurin’ It Out Counseling & Consulting cancels and cannot provide a mutually
acceptable replacement date, the client will receive a refund of the service fees paid.
6. Public Workshops, Classes, and Events
Unless different terms are displayed during registration:
Cancellations made at least seven calendar days before the event are eligible for a full refund.
Cancellations made between three and six calendar days before the event are
eligible for a 50% refund or full credit toward another eligible offering.
Cancellations made fewer than 72 hours before the event are nonrefundable,
although registration may be transferred to another person when appropriate.
Missed events are nonrefundable.
If Figurin’ It Out Counseling & Consulting cancels an event,
registrants may choose a full refund or a credit toward a rescheduled or future offering.
7. Digital Products and Downloadable Resources
Because digital products and downloadable materials are made available immediately, they are generally nonrefundable once accessed or downloaded.
If a file is defective, inaccessible, incorrectly described, or delivered in error, contact [EMAIL ADDRESS] within seven calendar days. We will make reasonable efforts to replace the file, provide an accessible alternative, correct the issue, or issue a refund when appropriate.
This section does not limit rights that cannot be waived under applicable law.
8. Subscriptions and Automatically Renewing Services
If Figurin’ It Out Counseling & Consulting offers a subscription or automatically renewing service, the renewal terms, billing frequency, price, and cancellation method will be clearly disclosed before purchase.
Cancellation stops future renewal charges but does not ordinarily create a refund for a billing period that has already begun.
A subscription purchased online may be canceled online by emailing ali@fiocc.com.
Any legally required renewal notices will be provided.

Any legally required renewal notices will be provided.
9. Refund Processing
Approved refunds will ordinarily be:
Issued to the original payment method
Initiated within seven to ten business days
Subject to additional processing time imposed by the bank or payment provider
We will not require a person requesting an accessibility-related refund or accommodation
to disclose more medical or personal information than is reasonably necessary to understand the request.
10. Exceptional Circumstances
We may make reasonable exceptions for emergencies, hospitalization, serious illness, bereavement, disability-related circumstances, severe weather, unsafe travel, deployment, or other significant events beyond a person’s reasonable control.
Exceptions are considered individually and are not guaranteed. Applying an exception in one situation does not require the same outcome in materially different circumstances.
11. Chargebacks and Billing Concerns
If you believe a charge is incorrect, please contact ali@fiocc.com before initiating a payment dispute so that we have an opportunity to investigate and resolve the concern.
Nothing in this section limits your right to dispute an unauthorized or unlawful charge.
12. Rights Under Applicable Law
This policy does not limit any refund, cancellation, accessibility, healthcare, insurance, or consumer-protection right that cannot legally be waived.
Where a signed service agreement, professional requirement, insurance contract, or applicable law provides greater protection, that requirement will control.
